Overview: Property Pal is a residential property management and maintenance recommendation
platform that helps property owners in Florida maintain their properties through AI-powered service
recommendations and local service provider connections.
1. Information We Collect
1.1 Account Information
When you create a Property Pal account, we collect:
- Personal Information: Name, email address, and password
- Social Login Data: When using Google Sign-In or Apple Sign-In, we receive your name, email
address, and profile identifier from these services
- Profile Information: Optional profile photo and contact preferences
1.2 Property Information
To provide maintenance recommendations, we collect detailed property data including:
- Property Details: Address, property type, size (square footage), age, construction details,
and room count
- System Information: Heating system type (Gas/Electric/Heat Pump), HVAC details and age,
plumbing fixtures with installation dates, electrical system information
- Appliances: Appliance inventory with models and age tracking
- Maintenance History: Current maintenance status, service records, and completion notes
- Location Data: Property address for service provider recommendations (we do not collect or
track your real-time GPS location)
1.3 AI Questionnaire Responses
When you complete our interactive property assessment:
- Your responses to AI-generated questions about your property systems and maintenance needs
- Follow-up question interactions and preferences
- Service priority selections and scheduling preferences
1.4 Service Provider Interactions
- Service providers you view, contact, or save as favorites
- Notification preferences for different service categories (HVAC, plumbing, electrical, general contractors)
- Scheduling preferences and reminder settings
1.5 Usage and Analytics Data
We automatically collect information about how you use Property Pal through Firebase Analytics:
- App Usage: App opens, session duration, screen views, and feature usage patterns
- Device Information: Device type, operating system version, app version, and device
identifiers
- Performance Data: Crash reports, error logs, and app performance metrics
- Interaction Tracking: AI question interaction frequency, notification response rates, and
service provider contact conversion rates
2. How We Use Your Information
2.1 Core Service Delivery
- Account Management: Authenticate your identity, manage your account, and enable password
reset functionality
- Property Management: Store and display your property information and maintenance history
- AI Recommendations: Generate personalized maintenance recommendations and dynamic follow-up
questions using OpenAI GPT integration based on your property details
- Service Provider Discovery: Connect you with local Florida service providers through Google
Places API based on your property location and maintenance needs
2.2 Communication and Notifications
- Send maintenance reminders and scheduling notifications via push notifications (Firebase Cloud Messaging)
and email
- Deliver seasonal service reminders appropriate for Florida climate
- Send emergency maintenance alerts when critical issues are identified
- Provide service appointment reminders based on your preferences
2.3 Service Improvement and Analytics
- Analyze user engagement, retention, and feature usage patterns
- Track conversion funnels (registration, property setup, questionnaire completion)
- Monitor app performance and identify technical issues
- Optimize AI question generation and recommendation accuracy
- Improve service provider matching algorithms
2.4 Legal and Security Purposes
- Comply with legal obligations and respond to lawful requests
- Protect against fraud, abuse, and security threats

3. How We Share Your Information
We do not sell your personal information to third parties.
3.1 Service Providers and Business Partners
We share information with trusted service providers who help us operate Property Pal:
- Google Firebase: Authentication, database storage (Firestore), cloud functions, analytics,
and push notifications
- OpenAI: Property data and questionnaire responses are sent to OpenAI GPT API to generate
maintenance recommendations. Per OpenAI's API data usage policy, data sent via API is not used to train
their models. Data is retained for 30 days for abuse monitoring and then deleted.
- Google Places: Property address is used to search for local service providers in Florida
- Social Login Providers: Google and Apple for authentication purposes
3.2 Service Providers You Contact
When you choose to contact a service provider through Property Pal:
- We may share your name, property address, and service request details with the provider you select
- This information sharing only occurs when you explicitly initiate contact
3.3 Legal Requirements
We may disclose information when required by law, court order, or to:
- Comply with legal processes and government requests
- Protect our rights, property, and safety
- Prevent fraud or illegal activities
- Respond to emergency situations involving health or safety
4. Data Storage and Security
4.1 Security Measures
- Encryption in Transit: All data transmitted between your device and our servers is
encrypted using HTTPS/TLS protocols
- Encrypted Storage: Property data is stored in Google Cloud Firestore with encryption at
rest
- Secure Authentication: Firebase Authentication manages user credentials with
industry-standard security protocols
- Access Controls: Strict access controls limit who can view or modify your data
- Regular Security Audits: We conduct regular security reviews and monitoring
4.2 Data Location
Your data is stored on Google Cloud servers, primarily located in the United States. By using Property Pal, you
consent to the transfer and processing of your data in the United States.
5. Data Retention
- Active Accounts: We retain your data as long as your account remains active and you
continue using Property Pal
- Deleted Accounts: When you delete your account, all personal data, property information,
questionnaire responses, and preferences are permanently deleted
- Analytics Data: Anonymized analytics data may be retained longer for service improvement
purposes
- Legal Requirements: Some data may be retained longer if required by law or for dispute
resolution
6. Your Privacy Rights and Choices
6.1 Account Access and Control
You have the right to:
- Access: View and download your personal data and property information
- Correction: Update or correct inaccurate information through your profile settings
- Deletion: Delete your account and all associated data through the app settings or by
contacting us
- Data Portability: Request a copy of your data in a machine-readable format
6.2 Notification Preferences
You can control:
- Push notification settings for maintenance reminders and alerts
- Email notification frequency and preferences
- Service category notification settings (HVAC, plumbing, electrical, etc.)
- Scheduling preferences and preferred time windows
6.3 Location Data
Property Pal only uses the property address you manually enter. We do not collect or track your real-time
location. You can update or remove property addresses at any time.

8. Children's Privacy
Property Pal is designed for property owners and is not intended for users under 18 years of age. We do not
knowingly collect personal information from children. If we discover that we have inadvertently collected
information from a minor, we will delete it immediately.
9. Florida-Specific Information
Property Pal is currently focused on serving property owners in Florida. We tailor our AI recommendations and
service provider suggestions specifically for Florida's climate, building codes, and maintenance requirements.
Service provider information is sourced from Google Places for Florida locations only.
10. Changes to This Privacy Policy
We may update this privacy policy periodically to reflect changes in our practices or legal requirements. When we
make significant changes, we will notify you through:
- In-app notifications
- Email notifications to your registered email address
- Updated "Last Updated" date at the top of this policy
Your continued use of Property Pal after changes are posted constitutes acceptance of the updated policy.

If you are a California resident, you have additional rights under the California Consumer Privacy Act:

Property Pal is based in the United States and primarily serves users in Florida. Your information may be
transferred to and processed in the United States where data protection laws may differ from your home country.
